Summary (Plain English)

FilterProof helps you collect career evidence, set job search goals, compare your experience to job descriptions, and build stronger application packages. We collect the information needed to provide those features. We do not sell your resume, job descriptions, chat messages, or career evidence — we do not sell your personal data at all.

• Your Workspace data (goals, profile, Memory Board evidence, chat, packages) is private to your account.
• You stay in control: from your account settings you can export your data as a file, clear your chat history, delete evidence items, delete previous analyses, and delete your account yourself.
• We do not scrape gated job boards such as LinkedIn or Indeed. When a job posting lives behind a login or restricted site, you paste the text yourself.
• Stripe processes payments; we never store full card numbers. Payment and transaction records may be retained for billing and legal reasons even after you delete your account.
• Product analytics events carry counts and categories only — never your resume, evidence, chat, or job text.

Who We Are

FilterProof is operated by Halite Mission Systems LLC, an Arizona limited liability company. “FilterProof” is the name of the service, not a separate company. In this policy, “FilterProof”, “we”, and “us” mean Halite Mission Systems LLC. You can reach us at contact@filterproof.ai.

What FilterProof Does

FilterProof is a job search workspace — an evidence workbench for your career. In your Workspace you can set job search goals, maintain a profile, collect career evidence on a Memory Board (your “shoebox”), chat with FilterProof to discover evidence you have forgotten, compare your experience against job descriptions (“Find fit”), and generate application packages — resumes, cover letters, and fit summaries built from your own saved evidence.

This policy explains what data those features need, how we use it, and the controls you have over it.

What Data We Collect

Account information: Your email address, used for sign-in and account communication. You sign in with Google, with LinkedIn, or with an email sign-in link — we do not collect or store passwords. Authentication is handled by Supabase.

Profile and job search goals: Information you choose to save in your Workspace, such as your name, contact details, location, education details, target roles, preferred locations, salary and pay preferences, work mode and employment type, and related job-search preferences (must-haves, nice-to-haves, dealbreakers).

Career evidence (Memory Board): Resumes, notes, certificates, screenshots, LinkedIn exports, project descriptions, accomplishments, and other career evidence you upload or type in. Uploaded files are processed transiently: we extract the career-relevant content and keep the extracted content along with the file’s name, type, and size — we do not keep the original file itself.

Chat messages: Your conversation with FilterProof’s evidence-discovery chat (see “Chat and Chat History” below).

Job descriptions and job links: Job postings you paste, upload as a screenshot or PDF, or point us to with a link.

Job postings you save: When you explicitly save a role, we store the posting text you supplied — by pasting it, or read out of a screenshot or PDF you uploaded — so we can quote it back to you and explain what it asks for. We do not keep the image or PDF itself, only the text read out of it. Postings we show you from public job feeds are not stored as text: for those we keep only the title, company, a link, and similar details, and we ask you to paste the description yourself if you want it analyzed. See “Job Postings You Save” below.

Payment information: If you buy a pass or subscription, payment processing is handled by Stripe. We do not store your full card number; we keep records of what was purchased for billing purposes.

Usage data: Privacy-conscious product analytics limited to counts, categories, and feature-usage signals (see “Analytics and Product Improvement” below).

How We Use Your Data

We use your data to:

• Provide the Workspace: your goals, profile, and Memory Board
• Compare your experience to job descriptions and produce fit summaries
• Generate application packages — resumes, cover letters, and fit summaries — from your saved evidence
• Keep your chat conversation available to you across visits
• Send you account, product, and support emails
• Improve the product using content-free usage analytics
• Respond to support requests

Background processing: When you run a fit comparison or analysis, the text involved is held temporarily in our secure job-processing system while results are prepared, and is automatically removed shortly afterwards (typically within about two hours).

Follow-up emails: If you provide your email address while using FilterProof, we may send a small number of helpful follow-up emails related to your activity. These emails never include your resume, evidence, or report contents — only generic guidance and a link back to the app. Every follow-up email includes a one-click unsubscribe link, and we honor unsubscribe requests through a suppression list. We do not send unrelated marketing or sell your email address.

Workspace, Memory Board, and Evidence

Evidence you save to your Memory Board is stored in your account as structured “cards” — for example a title, skills, themes, a short story, and resume-safe claims extracted from what you provided. These cards exist so FilterProof can help you build resumes, cover letters, fit summaries, and application packages from your real experience.

• Your evidence is private to your account and is only used to provide FilterProof features for you.
• You can delete any evidence item. Deleted items go to “Pending removal” for 24 hours, during which you can restore them or permanently delete them immediately; after that they are removed.
• Original uploaded files are not retained — only the text read out of them and basic file details (name, type, size).
• We keep your own words. When you type a note, upload a document, or confirm something from a chat, we store what you actually wrote alongside the summary we generate from it. We do this so we can show you which parts of a résumé or cover letter came from you, and so we stop asserting things you never said. It is your text, it is never rewritten, and it is included in your data export and removed when you delete the item or your account.

Job Postings You Save

If you save a role, FilterProof stores the job posting text so it can quote the posting back to you and explain what it asks for. Every explanation we give is anchored to words that are actually in the posting — which means we have to keep the words.

• We store it only when you save it. Reading or analyzing a posting does not store it. Saving the role is what stores it.
• We store text, never your files. If you upload a screenshot or PDF of a posting, we read the text out of it and keep only that text. The original image or PDF is not retained, and any quotes you see refer to the text we read.
• Postings from public job feeds are not stored as text. For jobs we show you from public feeds, we keep only details like the title, company, and a link. If you want one analyzed, you paste the description yourself — the same as any other posting you save.
• It is private to your account. Saved postings are never shared with the employer, any other employer, recruiters, training providers, or other candidates, and are never sent to analytics. We do not republish, redistribute, or aggregate them.
• You control it. Saved postings are included when you export your data, and you can delete an individual saved role or your whole account at any time.

Reading the employer’s hiring process. On a saved role you can ask FilterProof to read what the posting literally says about the hiring process — steps like interviews, recorded or AI-mediated interviews, assessments, clearances, restrictions on notes or AI aids, location, employment type, or sponsorship. We only ever show:

• The employer’s own words as an exact quote — never our paraphrase, and never a rating, score, grade, or verdict about the employer.
• What you privately noted — your own observations are kept private to your account, marked as unverified, and are never shown to the employer or to any other candidate.
• Our labeled inference and anything the posting doesn’t say (“unknown”) — we do not fill gaps with guesses.

To read the posting we send its text to our AI providers (OpenAI, with Anthropic as a fallback) under their API data-usage terms, the same as elsewhere in FilterProof. This information is never shared with the employer, recruiters, or other candidates, is not aggregated across users, and is included in your export. You can dispute a fact, correct or delete your own notes, or remove the whole thing at any time.

Chat and Chat History

You can chat with FilterProof to discover missing evidence or clarify your experience. Chat messages are stored in your account so you can pick the conversation back up and so FilterProof can keep context across visits.

• You control your history: the “Clear chat history” control in the chat deletes your stored messages.
• Nothing is saved to your Memory Board silently: when the chat spots something worth keeping, it proposes a card and you choose to save or dismiss it. Details you share in chat about evidence you have already saved (such as a job title, company, or dates) may be used to complete those existing items.
• Once you save a chat discovery to your Memory Board, it is treated like any other evidence item — including your ability to delete it.

Job Descriptions and Public Job Sources

To compare your experience against a role, you paste the job description, upload a screenshot or PDF of it, or provide a link. FilterProof can also search for roles from public and official job sources that our source policy allows us to read responsibly (for example public employer career feeds and government job boards).

• We do not scrape gated job boards. Sites such as LinkedIn and Indeed restrict automated reading, so we never fetch them. If a posting lives on a gated or restricted site, you paste the job description text (or upload a screenshot) yourself.
• When you provide a job link, we may keep it as a source reference alongside the job you asked about.
• Public job search results are shown to you and are not added to your account unless you use them.

Application Packages and Previous Analyses

Application packages: When you generate a package, the generated materials — the resume content, cover letter text, and fit summary — are stored in your account so you can review, download (PDF or DOCX), and manage them later. You can delete packages from your account.

Previous analyses: For analyses you have run, we keep summaries only — scores, keyword counts, and the job title you targeted. We do not store your resume text, the job description text, or full report documents; those are processed transiently and removed after processing. You can delete previous-analysis summaries individually or all at once from your account settings.

Payments and Subscriptions

Payments are processed by Stripe. We do not store your full credit card number on our servers. We keep records of purchases and entitlements (what you bought and when) to operate billing.

Payment and transaction records may be retained where required for billing, tax, fraud prevention, dispute resolution, or legal compliance — including after you delete your account. If you have an active subscription, you cancel it in Account → Plan & billing before deleting your account, so you are never left paying for an account you cannot access. Cancelling stops the next renewal; you keep paid access until the end of the period you have already paid for.

Analytics and Product Improvement

We use Google Analytics (GA4) for privacy-conscious product analytics — which features are used and whether they succeed. Analytics events are restricted to a fixed allowlist of counts, categories, and true/false flags (for example “3 files captured” or “search succeeded”).

Analytics events never include your resume text, job descriptions, evidence contents, chat messages, package contents, file names, email address, or links you provide.

Service Providers

We do not sell your personal data. We share data with the following categories of service providers, which process it only to run FilterProof:

• Database and authentication: Supabase (data storage, sign-in, and sign-in link emails)
• Hosting and infrastructure: Vercel (frontend) and Render (backend and background processing)
• Payments: Stripe
• Email: SendGrid (report, product, and follow-up emails)
• AI services: OpenAI (primary) and Anthropic (fallback) process the content you provide — such as evidence, chat messages, and job descriptions — to power extraction, chat, matching, and package generation. Your data is handled under those providers’ API data-usage policies.
• Analytics: Google Analytics (GA4) — receives content-free usage events only
• Sign-in providers: Google and LinkedIn, if you choose to sign in with them

These providers are obligated to protect your data and use it only for the purposes we specify.

Data Retention

Different kinds of data are kept for different lengths of time:

• Your account data (profile, preferences, Memory Board evidence, chat history, packages, previous-analysis summaries) is kept while your account exists, so your Workspace is there when you come back. You can delete each of these yourself at any time.
• Processing data (resume and job text inside a running fit comparison or analysis) is held temporarily in our processing systems and automatically removed shortly after processing completes — typically within about two hours.
• Deleted evidence items stay in a 24-hour “Pending removal” state, during which you can restore them or purge them immediately.
• Payment and entitlement records are retained as required for billing, tax, fraud prevention, and legal compliance.

If you ask us to delete data that you cannot remove yourself, we complete valid deletion requests within 30 days, except where we are required to retain records for legal or compliance purposes.

Your Controls and Choices

From Account → Settings → Privacy & data (and the controls throughout the product), you can:

• Export: Download a copy of your data as a JSON file — your profile, preferences, evidence items, application packages, chat messages, previous-analysis summaries, and plan status. Payment records are held by our payment processor and are not part of the export.
• Clear chat: Delete your stored chat history from the chat screen.
• Delete evidence: Remove individual Memory Board items (with a 24-hour restore window, or purge immediately).
• Delete previous analyses: Remove analysis summaries one at a time or all at once.
• Delete packages: Remove generated application packages.
• Delete your account: Self-service, described in the next section.
• Correct: Update your profile, goals, and preferences in your Workspace at any time.
• Unsubscribe: Opt out of follow-up emails with the one-click link in any such email.

Account Deletion

You can delete your account yourself from Account → Settings → Privacy & data. Deletion asks you to type a confirmation phrase, because it cannot be undone.

• What is deleted: your profile, preferences, Memory Board evidence, chat history, generated application packages, and previous-analysis summaries, along with your sign-in identity. You are signed out and the account is gone.
• What may be retained: payment, entitlement, and transaction records, where required for billing, tax, fraud prevention, dispute resolution, or legal compliance.
• Subscriptions: if you have an active subscription, you’ll be asked to cancel it first in Account → Plan & billing, so you are never charged for an account you can no longer access. Confirmed account deletion overrides any 24-hour content-recovery window.

Security

We implement reasonable technical and organizational measures to protect your data, including:

• Encryption of data in transit (HTTPS)
• Authentication handled by Supabase, with access scoped to your own account
• Row-level access controls in our database, plus server-side checks so data operations only ever act on the signed-in user’s own records
• Regular security reviews

While we strive to protect your data, no method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to promptly addressing any security issues that arise.

Children’s Privacy

FilterProof is a career tool intended for adults who are searching for jobs. It is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date at the top of this page.

For significant changes, we may notify you through the email address associated with your account or through a notice on our website.

Interview Preparation

If Interview Preparation is available on your account, it helps you get ready for an interview using only your own evidence and the job posting you saved. Everything it produces is preparation material.

• Preparation sessions. You explicitly create a session for a role. Nothing starts, advances, or completes on its own.
• Suggested questions and answer outlines. When you ask, FilterProof drafts questions to ask the employer and outlines for answering — grounded in your evidence at that moment. These are transient: nothing is stored unless you explicitly save it. An outline is a starting point, not a script, and it will not claim experience your evidence doesn't support. Your later edits are your own words and are not re-verified.
• Your notes. A plain text area for your own pre-, during-, and post-interview notes. They are yours, private, and never shown to an employer.
• Advisories. Where you saved the employer's own disclosed interview policy, FilterProof shows it back to you with its source and honestly says "unknown" when there is no statement. It never guesses a policy, never rates you, and never predicts whether you'll be hired.
• Your decisions. If you record a disclosure choice or a risk acknowledgement, that is your own record — not proof you disclosed anything, not employer consent, not legal advice, and not a waiver.

What FilterProof will never do here: record you; capture microphone, audio, video, or screen; transcribe or ingest a meeting; join or listen to an interview; answer for you or participate autonomously; give an employer access to any of this; or give you a score, ranking, or predicted hiring outcome.

This material is yours: it is included in your data export and removed when you delete your account, and our internal processing records for it keep only counts and timings — never your notes, questions, answers, or the posting's text.
